This Privacy Policy explains how Ramba Voice ("Ramba," "we," "us") collects, uses, shares, and protects personal information in connection with the Ramba Voice services, websites, and applications (the "Services").
1. Who this applies to
We act as a service provider / processor for the firms that use Ramba Voice. When a caller interacts with one of our customers' phone lines, the customer (the law firm) is the controller of that information, and we process it on their behalf and under their instructions. For our website and marketing, we act as the controller.
2. Information we collect
- Account information: name, work email, firm name, and billing details for customers who sign up.
- Call and intake data: audio, transcripts, and structured intake fields generated when the Services answer or follow up on a communication on a customer's behalf.
- Usage and device data: log data, IP address, browser type, and similar information collected automatically when you use the Services or visit our website.
- Communications: messages you send us, such as support or sales inquiries.
3. How we use information
- to provide, operate, secure, and improve the Services;
- to answer, qualify, book, and follow up on communications as configured by our customers;
- to bill for and administer accounts;
- to communicate with you about the Services; and
- to comply with legal obligations and enforce our terms.
4. How we do not use it
We do not sell personal information. We do not use Customer Data, including call transcripts and intake details, to train publicly available AI models. Intake data is encrypted in transit and at rest and is logically isolated per customer.
5. Sharing & subprocessors
We share information only as needed to run the Services: with vetted subprocessors (such as cloud hosting, telephony, speech, and language-model providers) under contractual confidentiality and data-protection obligations; with our customer who owns the relevant communication; and where required by law. A current list of subprocessors is available on request.
6. Call recording & consent
The Services can record and transcribe calls. Recording-consent requirements vary by jurisdiction, including two-party (all-party) consent states such as Maryland. The Services are designed to support appropriate disclosures, but our customers are responsible for ensuring their configuration meets the requirements that apply to their callers.
7. Data retention
We retain personal information for as long as needed to provide the Services and for legitimate business or legal purposes. Customers can request deletion of Customer Data, subject to limited exceptions, by contacting us.
8. Your rights
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, or to object to certain processing. To exercise a right, contact us at privacy@rambavoice.com. If your data was provided to a customer's firm, we may direct your request to that firm as the controller.
9. Security
We apply administrative, technical, and physical safeguards designed to protect personal information, including encryption, access controls, and isolation of customer data. No system is perfectly secure, but security is a core part of how we build.
10. International users
The Services are operated from the United States. If you access them from outside the U.S., you understand your information may be processed in the U.S. and other countries with different data-protection laws.
11. Changes
We may update this Policy from time to time and will revise the "last updated" date above. Material changes will be communicated through the Services or by email.
